Logging In

An e-mail will be sent with your username and password. Your systems administrator will provide to you a link to reach the log in page. Click on the link and it will bring you to the initial log in page like below:

Your username will always be your e-mail address.  When you first log in, please check “Remember me on this computer” so that you will not need to enter in your information unless you clear your cookies. 

If you forget your password, please click “Forgot your Password?” and the screen will prompt you to enter your e-mail address, and it will be mailed to you.

To change your password, once you have logged in, under User Options, select the password option.  You will be prompted to enter your old password, a new password and to confirm it.  Select Save when complete.

Your administrator has taken the time to set up your account options. The next screen that you will see is your Home Screen: 

 From this screen you can view recent mail messages, access your quarantine and review and make changes to your account. Before making changes to your account (Account properties), please contact your systems administrator, as they may have specific guidelines for you to follow.

In Whitelist mode, the server determines whether or not to deliver the message strictly on the basis of the associated from and to addresses.

Only sender addresses that are found in your Allow list will be delivered. If a first time sender (who is not on your Allow List) tries to send an email message to your address, the message will considered spam and be treated as such, based on the spam handling settings in the next section.

In Content Filtering mode(Default setting), the system will scan and score the content of the email (such as suspicious words, phrases, or images) to determine whether or not the message is spam. Messages that score above selected threshold will be quarantined. Content filtering is not as reliable as whitelisting but it can be adopted right away because it does not require the building of a list of Allowed senders in order to receive email. When you reply to a message received while in Content Filtering mode, the outside contact will still be added to your Allow List. This allows you to start out in Content Filtering mode and then transition into Whitelisting mode once their Allow List is sufficiently complete.

How would you like to handle messages that are marked as SPAM?

Send a challenge-response or change-of-address request: Spam is not delivered to your mailbox. Instead, either a challenge/response message, or a change-of-address request is sent back to the sender.

**The challenge/response message indicates that the sender's message was blocked, and provides them with a link to add their address to the Allow List. The change-of-address message indicates that your email address has changed, and provides a unique Protective Address for the sender to use in all future communications. **

Flag the subject line: Instead of being blocked or quarantined, spams will be delivered to your mailbox with a message inserted at the beginning of the subject line (**Possible Spam**). 

TIP: This setting should be selected to avoid missing any legitimate email.

Flag the subject line and deliver to delegate: This option will be removed in a future release.

Vaporize: Delete the message with no notification at all.

Quarantine and send a change-of-address request: Same as Send a challenge-response or change-of-address request but the message is also quarantined.

Quarantine Only: The message is quarantined and no immediate notification is sent to the sender or recipient.

Additional Account Settings

Use the Primary Address and automatically add that contact to the Allow List: The message will appear to come from your Primary Address (e.g. This email address is being protected from spambots. You need JavaScript enabled to view it.) and the recipient will automatically be added to your Allow List.

Create a new Protective Address and use it for all future communication with that contact: The message will appear to come from a Protective Address (e.g. This email address is being protected from spambots. You need JavaScript enabled to view it.) and all future communications with that recipient will use that same Protective Address. Additionally, messages sent to that Protective Address by that contact will not screened by the content filter so they are significantly less likely to be incorrectly identified as spam.

Allow the use of Addresses-on-the-Fly: There is a unique feature of this product to help you give out e-mail addresses safely.  It is called Address on the Fly.  For example, if you want to buy something on E-Bay, and it requires an e-mail address for you, you can submit: This email address is being protected from spambots. You need JavaScript enabled to view it., which will always get through unless you block it.  You can also do this when you are on the phone with someone such as a friend: This email address is being protected from spambots. You need JavaScript enabled to view it..  This is a very unique feature that is also very useful.  If unwanted e-mails result from disclosing that address, you can stop the original sender from sharing it as well as block the entire address completely. 

With Reflexion, you will gain control of your corporate e-mail to ensure ALL your e-mail gets through, without ANY unwanted e-mails in the mix. 

Messages to AOTFs are not screened by the content filter so they are significantly less likely to be incorrectly identified as spam. AOTFs can also be individually disabled after their first use if they begin to receive spam. 

If you are unsure what to choose for this option, leave it enabled; it will not affect normal email usage in any way.

Message Format Options

Attach a Control Panel to the bottom of all incoming messages: This option causes a control panel footer to be attached to all incoming messages. The footer allows the recipient to see why the message came in, which address it was sent to, and provides an easy way to add the sender to the Block List or Allow List or to disable the address with only a few clicks.

Quarantine Settings

Send a Daily Quarantine Summary: You will receive a summary of all messages added to the quarantine. Links in the Daily Quarantine Summary can be used to allow and release messages directly to your email client.

Blatant spam threshold: Messages whose content filter scores are above this threshold will not be included in the Daily Quarantine Summary (you can still view them on the web-based quarantine page).

Always send a Daily Quarantine Summary: Send a quarantine summary even if no new messages have been added to the quarantine since your last quarantine summary

Partially block quarantine message subject lines: Parts of each quarantine message subject line are replaced with '---' in order to shield you from the potentially offensive language often seen in spam emails. E.g. "Sample email subject" would become "S----- e----- s------".

Quarantine Folder

To view blocked messages, click on Quarantine on the top menu bar or click view my Quarantined message from the home page either option selected will bring you to a page that looks similar this:

Clicking on the subject line of the e-mail will open up the message in that window.  From that page you can...

  • Release the e-mail into your inbox
  • Release the message and Allow the senders email address or sending domain
  • Delete the message and block the sending address or sending domain
  • Delete the message

You can also check the box under select and do the following options in bulk

  • Release the e-mail into your inbox
  • Release the message and Allow the senders email address or sending domain
  • Delete the message and block the sending address or sending domain
  • Delete the message

Please note:

If there is an attachment, you need to release the e-mail to view attachment.

Once a message is deleted from the quarantine it CANNOT be recovered.

When allowing or blocking an address, you are actually block the address in the “Sender” column as that is the actual sending address

How to add email addresses/domains to your allow or block list

Click on user options on the top menu bar

Click on Allow List

New Entry (for a single entry)

Import (used for multiple entries)

You can add a full email address or domainname.com

Note: Our system does not support wildcard entries, so when adding domain name simply add domainname.com

How to add an Alias

Click on user options

Click on Addresses

Add new Alias.

To enable permitted languages

Click on user option on the top menu bar

Click Permitted languages

When enabled, the system examines the subject line of all inbound messages to determine its character set. If the subject is not of a language from among the permitted languages chosen by the enterprise and user, the system will block the message and place it into the quarantine.

How to enable permitted Countries 

Click on user option on the top menu bar

Click Permitted Countries

When enabled, the system examines the IP address of the sender's mail server to determine its country of origin. If the country of origin is not from a country that is among the permitted countries chosen by the enterprise and user, the system will block the message and place it into the quarantine.

How to change password

Click on user option on the top menu bar

How to view the delivery results for a message sent of received through Reflexion

Click on Reports

Click on All

You will see all messages to and from your address

To the left you will see a notepad - Click on the notepad for the message in question
